The University of Wollongong in Dubai is seeking highly organised, customer-focused, and detail-oriented Visa Officers to join our People & Culture team.

This is an exciting opportunity for an administrative professional who thrives in a fast-paced, service-driven environment and enjoys helping people navigate important life and career transitions. In this role, you will manage visa, immigration, health insurance, and related administrative processes for both students and employees, ensuring compliance with UAE regulations while delivering an exceptional customer experience.

As a key member of the Visa team, you will work closely with students, employees, internal departments, government authorities, free zone entities, and external service providers to support smooth onboarding, visa renewals, cancellations, insurance administration, and related services.

Experience handling UAE visa, immigration, student services, employee onboarding, government transactions,or high-volume customer service operations will be highly regarded.

Key Responsibilities

You will be responsible for:

  • Managing end-to-end visa processes, including new applications, renewals, transfers, status changes, and cancellations for students and employees.

  • Processing and responding to visa, insurance, and refund enquiries through ServiceNow, shared mailboxes, and other communication channels.

  • Reviewing and verifying documents to ensure compliance with UAE immigration and university requirements.

  • Tracking application progress, resolving returned or rejected cases, and ensuring timely completion of visa transactions.

  • Coordinating medical fitness examinations, Emirates ID biometric appointments, and related government processes.

  • Managing health insurance applications, renewals, additions, cancellations, and annual census activities.

  • Supporting student visa deposit refund processes in collaboration with the Finance team.

  • Maintaining accurate records, trackers, reports, and confidential documentation.

  • Providing guidance and support to students, employees, Admissions, Student Recruitment, Registry, Finance, and other university stakeholders.

What We're Looking For

Essential Qualifications & Experience

  • Diploma, certificate, or equivalent qualification in Business Administration, Human Resources, Customer Service, or a related field.

  • 2–4 years' experience in administration, customer service, student services, operations, or a similar service-oriented environment.

  • Strong experience managing high-volume transactions, documentation, records, and service requests.

  • Excellent organisational skills with the ability to manage multiple priorities and deadlines.

  • High attention to detail and accuracy when handling documentation and compliance-related processes.

  • Strong written and verbal communication skills.

  • Proficiency in Microsoft Office applications, particularly Excel and Outlook.

Desirable

  • Experience using ServiceNow, AXS, CRM systems, or similar workflow platforms.

  • Previous exposure to visa, immigration, employee mobility, student services, health insurance, or government liaison processes.

  • Arabic or additional language capabilities.
